How to Set Up Promotions in Letterhead

Promotions let you monetize your newsletters by selling ad space across your organization’s channels. The workflow: build reusable templates, group sold inventory into campaigns, add promotions to those campaigns, and let them populate your newsletters. Promotions are created at the Workspace level (the top-level account), not within individual channels — switch to the Organization view to begin.

From the Workspace level, open Promotions. It has three tabs:

  • Templates — reusable ad layouts
  • Promotions — individual ad details
  • Campaigns — advertiser details, grouping multiple promotions into a single ad buy

If you’re just getting started, head to Templates first.

Templates define the format and placement of ads. Before creating them, decide what ad types you’ll offer (text, banner, native), where each should appear (header, middle, footer), and your pricing.

  1. Click Create Template and choose the ad type.
  2. Name the template for its position and format — e.g., “Banner – Header”.
  3. Set recommended image dimensions (e.g., 650 x 250 for banners). Height is automatically set to auto-height, scaling proportionally to the width you define so ads display cleanly and responsively.
  4. Submit, and repeat for each type/placement combination you offer.

Templates include an Auto Inject for newsletters option. Check it and pick a position (header, hero, mid-body, bottom-body, footer), and scheduled promotions drop into newsletters automatically — locked in place, no drag-and-drop. See How to Use Auto Inject for the full walkthrough.

  1. On the Campaigns tab, click Create Campaign.
  2. Give it a descriptive name (e.g., “March – Banner + Native – Client Name”).
  3. Enter the advertiser’s name and your contact email.
  4. Select the channels where the campaign should run, then click Create.

New campaigns start in Inactive status.

  1. Open the campaign and click Add Promotion.
  2. Select the ad template (e.g., “Banner – Header”).
  3. Add the creative — upload and link the image, write the ad copy, whatever the template requires. (For pasted ad tags or custom code, use an HTML promotion.)
  4. Assign the run dates, and repeat for other ad slots in the campaign.
  5. Flip the active toggle to make the campaign live. If you don’t see your campaign listed, switch the filter from “Active” to “All” or “Inactive.”
  1. Open a draft newsletter in the channel.
  2. Add promotion placeholder blocks where ads should appear — say, a banner under the logo, one mid-article, one above the footer.
  3. For each block, select the corresponding zone.

Your scheduled promotion populates the correct slot automatically based on the send date and template type. Keeping placeholders in your newsletter template makes placements consistent and campaigns easy to manage — or use Auto Inject and skip placement entirely.

  1. Decide on ad types and locations.
  2. Create matching templates in the Templates tab.
  3. Build a Campaign and add individual Promotions to it.
  4. Include promotion blocks in your newsletter template so sold ads populate automatically.
