Multi-user editing alert

Letterhead prevents multiple users from editing the same newsletter at the same time. Simultaneous collaboration isn’t supported, so this alert stops teammates from unknowingly overwriting each other’s work.

If someone is already editing a draft, you’ll see an alert showing the email address of the current editor. You can then:

  • Take over editing — you get control of the draft. The original writer loses the ability to save any work that hasn’t auto-saved yet.
  • Cancel — exit the newsletter and leave the current editor undisturbed.

Auto-saves happen when a writer stops typing (after about two seconds of inactivity) or exits the composer. When you take over, the original writer is notified on their next auto-save that someone else has taken over; clicking Exit to Dashboard returns them to the Emails page.

There’s no limit on takeovers — control can pass back and forth — but only one person can write at a time. Co-writers should coordinate before taking over from each other to avoid losing edits.

You don’t have to take a draft over from someone who has already left it. A teammate holds the newsletter only while they’re working in it: about two minutes after their last auto-save, the draft frees up on its own. Open it after that and it’s simply yours to edit — no alert, no takeover, nothing lost.

Because auto-saves happen whenever a writer pauses for a moment, this only ever releases a newsletter nobody is working in. Someone actively writing keeps hold of it for as long as they stay in the composer, however long that is.

On the Emails screen, a newsletter that’s currently being edited shows an icon with the editor’s initials next to the edit icon. Once a teammate has been away from a draft for a couple of minutes, that icon clears too — so what you see on the list is who is working right now, not who opened it earlier in the day.
