Setting Up Multi-Factor Authentication (MFA) in Letterhead

To enhance the security of your Letterhead account, we now require Multi-Factor Authentication (MFA).

Follow these quick steps to set it up using an Authenticator OTP app of your choice.

⚠️ Note: Multi-factor authentication (MFA) is a required security measure implemented by Letterhead. Enabling MFA helps safeguard your account and sensitive information from unauthorized access, ensuring we maintain the highest standards of security, privacy, and compliance.

It is not possible to exempt any users, organizations, or channels from this requirement


Step 1: Log In to Letterhead

  1. Go to the Letterhead login page.

  2. Enter your email address and click continue

  3. Enter your password and click Continue.


Step 2: Choose Your MFA Method

When prompted, you’ll be asked to set up MFA. You can choose one of the following methods during enrollment:

⚠️  Note: When you’re first prompted to enroll in MFA, you can choose SMS as your verification method. If you instead select an authenticator app (like Google Authenticator), SMS will no longer be available as an option for you later.

Step 3: Set up Your Chosen MFA method

Option 1: Authenticator App (Recommended)

  • A QR code and required OTP will appear on the screen.

  • Open your authenticator app (e.g., Microsoft Authenticator, Google Authenticator).

  • Tap Scan a QR code, or choose Enter setup key manually if you can’t scan.

  • Once added, your app will display a 6-digit code that refreshes every 30 seconds.

  • In your Authenticator app on your phone (the app used in the example is Microsoft Authenticator).

  • Tap the “Scan a QR code” button

    • If you can’t scan, select “Enter code manually.”

  • Scan the QR code shown in Letterhead.

  • You’ll see a new entry,  usually automatically named “Letterhead”, added to your Authenticator app, showing a 6-digit code that refreshes every 30 seconds.

⚠️ Tip: The code changes every 30 seconds, so be sure to enter the latest one.

      

  • Enter your OTP and click Continue

Option 2: SMS Authentication

  • Select the SMS option during enrollment.

  • Enter your phone number and click Continue.

⚠️ Important: SMS is only available if you choose it during initial enrollment.
If you select an authenticator app instead, you won’t be able to use SMS later.

  • You’ll receive a text message with a code (e.g., “123456 is your verification code for Letterhead”).

  • Enter the 6-digit verification code from SMS.
  • Click Continue to confirm.

⚠️ The following steps apply to all MFA methods and should be completed after enrollment.

Step 4: Save Your Recovery Code 

A recovery code will appear after setup for either MFA method.  This code allows you to access your account if you lose your device.

Save it securely in:

  • A password manager

  • A secure notes app

Click Continue once you’ve saved it.


Step 5: Logging In with MFA

Each time you sign in, you’ll be asked to confirm your identity using the method you enrolled with:

  • Authenticator App: Enter the current 6-digit code from your app.

  • SMS: Enter the verification code sent to your phone.

⚠️  Email Verification: If you can’t use your primary method, click “Try another method” to receive a one-time verification code via email.

⚠️ You can also select “Remember this device for 30 days” during login.
This option keeps your device trusted for 30 days, so you won’t need to re-enter a verification code every time you sign in from that same device and browser


✅ Step 5: You’re All Set!

You’re now logged in, and your account is protected with MFA.
Each time you sign in, you’ll be asked to enter the latest 6-digit code from your Authenticator app to confirm it’s really you.
